Room Hire Terms and Conditions

Please ensure you agree to the following before hiring a room at The Meanwood Constitutional Sports & Social Club.

If the hirer is in any doubt as to the meaning of the following the Bar Management Team should be immediately consulted.

Standard Conditions of Hire
  1. THE HIRER will, during the period of the hiring, be responsible for supervision of the premises, the fabric and contents, their care, safety from damage however slight; or change of any sort and the behaviour of all persons using the premises whatever their capacity, including proper supervision of car parking arrangements to avoid obstruction of the car park entrance and surrounding highways.
  2. THE HIRER shall not use the premises for any purpose other than that described in the hiring agreement and shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose or in any unlawful way nor do anything or bring onto the premises anything which may endanger the same or render invalid any insurance policies in respect thereof.
  3. THE HIRER shall ensure that nothing is done on or concerning the premises in contravention of the law relating to gaming, betting and lotteries.
  4. THE HIRER shall comply with all the conditions and regulations made in respect of the premises by the Fire Authority, Local Authority, the Local Magistrates’ Court or otherwise, particularly in connection with any event which includes public dancing or music or other similar public entertainment or stage plays.
  5. THE HIRER shall if preparing, serving or selling food observe all relevant food health and hygiene legislation and regulations.
  6. THE HIRER shall ensure that any electrical appliances brought to the premises and used there shall be safe and in good working order, and used All electrical appliances should have a current Portable Appliance Test also known as PAT Test label.
  7. THE HIRER shall ensure care is taken not to damage, mark or otherwise deface any painted surface this includes the use of sticky tape (such as Sellotape), drawing pins, push pins or mouldable adhesive putty (such as Blu Tack).
  8. THE HIRER shall indemnify the Management Committee (the Committee) for the cost of repair of any damage done to any part of the property including the curtilage thereof or the contents of the buildings which may occur during the period of the hiring as a result of the hiring.
  9. THE HIRER shall be responsible for making arrangements to insure against any third-party claims which may lie against him or her (or the organisation if acting as a representative) whilst using the (The Meanwood Constitutional Sports & Social Club Management Committee is insured against any claims arising out of its negligence).
  10. THE HIRER must report all accidents involving injury to the public as soon as An Accident Report Book is kept behind the bar for this purpose. Certain types of accidents or injuries must be reported to the local authority.
  11. THE HIRER shall ensure that no animals (including birds) except guide dogs are brought into the Club, other than for a special event agreed by the. No animals are to enter the toilets or bar at any time.
  12. THE HIRER shall ensure that if children are present, every necessary step is taken to protect children from harm, as per the Licensing Act 2003.
  13. THE HIRER shall not carry out fly posting or any other form of unauthorised advertisements for any event taking place in the Club, and shall indemnify the Committee accordingly against all action, claims and proceedings arising from any breach of this Failure to observe this condition may lead to prosecution by the local authority.
  14. THE HIRER may cancel at any point, with the following refund policy. If cancelled seven (7) days or more in advance of the hire date the hirer will receive a 100% refund, minus the non-refundable deposit of £25. No refunds will be permitted within seven (7) days of the hire date.
  15. THE COMMITTEE reserves the right to cancel this hiring in any event, in which case the Hirer shall be entitled to a refund of any deposit already paid.
  16. IN THE EVENT of the venue or any part thereof being rendered unfit for the use it has been hired, the Committee shall not be liable to the hirer for any consequential loss or expense.
  17. THE COMMITTEE reserves the right to refuse a booking, in which case the Hirer shall be entitled to a refund of any deposit already paid.
  18. THE HIRER shall be responsible for leaving the premises and surrounding area in a clean and tidy condition, and any contents temporarily removed from their usual positions properly replaced, otherwise the Committee shall be at liberty to make an additional charge.
  19. EXCLUDED ACTIVITIES – the following are not allowed:
    • firework displays and
    • bouncy castles and other inflatable
    • adult entertainers
  20. THE HIRER shall ensure that a minimum of noise is made on arrival and departure.

     

    Special Conditions of Hire
    1. The Hire Fee can be paid online at the time of booking, if this was not the case for this booking, the deposit must be paid immediately. The Room Hire Balance is payable one week before the event for which the room is hired. Payment must be made using the bank details which will be sent if necessary, or in person using a Debit Card or Cash.
    2. The hirer, who must be over the age of 21 years, shall be in charge of, and upon, the premises and any guests during the whole time of the rented time period.
    3. We have a maximum capacity for the premises and the rooms available to hire, it is the hirer’s responsibility to ensure that these are adhered to, failure to do so may cause people been asked to leave or the event been cancelled or stopped. The number of people in the premises shall not exceed 270 persons. The number of people in The Stonegate Lounge shall not exceed 55 persons. The number of people in The Park Suite shall not exceed 100 persons.
    4. All means of exit from the premises must be kept free from obstruction and immediately available for free public exit.
    5. The emergency lighting supply illuminating all exit signs will come on in the event of power failure.
    6. The Fire Brigade shall be called to any outbreak of fire, however slight, and details thereof shall be given to a member of staff directly after that.
    7. Performances involving danger to the public shall not be permitted.
    8. Explosives and Flammable Substances:
      • Highly flammable substances shall not be brought into, or used in any part of the premises.
      • No internal decorations of a combustible nature (e.g. polystyrene, cotton wool) shall be erected without the consent of the Management Committee.
      • Candles are not allowed.
    9. No unauthorised heating appliances shall be used on the premises without the consent of the Management Committee. Portable liquefied propane gas (LPG) heating appliances shall not be used.
    10. The hirer is required to remove all rubbish produced after the event.
    11. Smoking, including vaping and e-cigarettes, is not permitted within any part of the building, there are designated outside areas for this, this does not include entrance porches or fire escapes.
    12. Illegal substances shall not be brought into, or used in any part of the premises.
    13. Except for catering for this event only food and drink purchased at the Club can be consumed on the premises.
